Responsibilities

POSITION SUMMARY

Receive and greet members, non-members and staff and answer questions as appropriate. Give tours and explain the Fitness Center policies and procedures to perspective and new members. Answer phone inquiries, make appointments and relay information/messages. Perform data entry into "Club Runner" (site specific software) and perform cashier duties. Perform clerical duties such as typing, filing and organizing information for Fitness Center programs and classes.

This position will also help coordinate, assist or run the many weight loss and exercise programs developed by the Fitness Center. These programs are very important as they generate a great deal of income for the Center, as well as providing programming to members and non-members.

TYPICAL DUTIES

  • 15% Receive and greet members and non-members, in person or via phone, representing all levels of faculty, staff and students. Provide assistance or direct customer to other staff member as appropriate.

  • 5% Make, cancel and re-schedule appointments for massage, personal training and orientations. Appointments average 165 per month.

  • 10% Provide all information concerning membership to potential members, such as staff, faculty, residents, post-docs, fellows, students, retirees, alumni and family. Represent the Fitness Center by providing written materials, as well as giving a tour of the facility. This requires up to date and accurate knowledge of the services offered and the benefits available to members. Respond to any questions or concerns that may arise from this communication.

  • 8% Accept and process paperwork and payment for new and renewing members. Sign individuals up for an orientation and provide them with necessary information.

  • 2% Sell and renew locker rentals. Assign locker and update information in locker spreadsheet and member database.

  • 8% Create and maintain records and reports for memberships, programs and orientations. These may be used for future planning of programs or for statistics. These reports are kept and/or forwarded to the manager, to provide accurate records or information. In some cases, the results are forwarded to Finance for tax purposes.

  • 5% Data entry of new, renewing and perspective members. These records provide the member's permanent information and affiliation and are used for statistics and billing purposes.

  • 2% Call customers concerning any questions for dry cleaning and other services. Notify customer when an item is ready for pickup.

  • 1% Maintain towel stock and accept money for towel usage.

  • 1% Stock food items daily and inventory once per week, plus keep track of expiration dates.

  • 1% Organize and maintain a professional appearance of the pro-shop space as needed. Help customers find items for purchase.

  • 3% Clean mirrors, desk, equipment, supplies and fitness center areas as needed.

  • 5% Cashier for any monetary transactions (food, membership, rentals, etc). The average amount of these transactions is $13,500 per month.

  • 2% Monitor daily those accessing the Fitness Center and manually check-in members who do not have their ID. Routinely work on staff generated reports to review and update individuals with access. Provide reports to the manager for individuals that have access and are in question.

  • 3% Collect and record all registrations for Fitness center classes. Create sign-in spreadsheet for classes. Monitor classes for minimum and maximum participation. Maintain class waivers and rosters.

  • 8% Collect all registrations and money for Fitness center programs (such as the weight loss races, Fitness Challenges, step challenges or any other programs). Create or modify spreadsheet, schedules and sign-in sheets for programs. Enter all participant data into spreadsheets for use within programs. Some programs require dissemination of information/results to individual participants.

  • 7% Collect all registrations and monies for Fun Fitness Camp. Enter all data in spreadsheet, mark paperwork and email contact with confirmation. Communicate with contacts regarding dates enrolled, changes and policies. Keep all camp information accurate and up to date. Take all payments and record on paperwork and in spreadsheet.

  • 10% Provide assistance with activities such as marketing, mailings, typing letters and data entry in spreadsheets used for programs, filing and other projects as they arise. Copy and cut any member materials used at the front counter.

  • 2% Find and organize exercise and health materials and information for bulletin boards. Post information in a presentable fashion every 1-2 months. Maintain local race information for "running" board.

  • 2% Work on program specific items - such as those for the Department Dash race/walk event.

QUALIFICATIONS

High school education or 3-4 years related work experience, or the equivalent combination of education and experience. Ability to operate the office machines listed above. Individual should possess outstanding customer service skills and a fair amount of computer knowledge and Microsoft programs.
