Function of Position:

Monroe Community College seeks an experienced professional to serve as the Director of Registration and Records. The Director will support the College's overall mission, strategic plan, and goals. The Director of Registration and Records is administratively responsible for the development, coordination, and implementation of a comprehensive registration and records department. The Director of Registration and Records reports to the Associate Vice President, Enrollment Management.

Primary Functions:

  • Organize and direct the day-to-day department activities and procedures including, but not limited to, the accuracy and maintenance of the following registration and records functions: academic records; attendance procedures/requirements; grading processes; graduation certification; master schedule; student registration; transcripts; and storage/security of historical academic records, as well as the supervision of professional staff, support staff, and student workers.

  • Serve as a steward for the BANNER Student Module.

  • Ensure database security and maintain college-wide system access policies and procedures; review and approve requests for screen access and database update capabilities; records, audits, and assigned access privileges.

  • Develop and execute BANNER student system training opportunities for faculty and staff; ensuring the consistency and integrity of database elements and screen consequences of approving changes.

  • Lead BANNER Student, with consultation and support from the Student Services Business Analyst (or designee), and coordinate planned expansions, updates, and/or modifications with departments across the institution.

  • Serve as the College FERPA Compliance Officer.

  • Ensure College compliances with all SUNY, state, and federal regulations with regard to registration and records.

  • Lead, coordinate, and deliver a registration process for all students, including matriculated, non-matriculated, and dual enrollment students.

  • Plan course/program registration and course drop/add processes

  • In collaboration with Financial Aid, Academic Services, and other areas as appropriate, develop a comprehensive registration calendar.

  • Oversee and provide assistance and supervision of the planning and preparation of the master schedule of courses for each semester or special terms of instruction.

  • Provide oversight for the development of the class schedule of contract courses, both credit and non-credit, including but not limited to, semester courses, Intersession, and summer sessions.

  • Work in collaboration with both Enrollment Management and Academic Services to ensure the course Master Schedule is supportive of the enrollment goals of the College, by overseeing all changes and updates of the course schedule, including cancellation of classes and addition and deletion of courses.

  • Provide updated reports to college departments regarding student registration, as needed.

  • Provide oversight for classroom scheduling at the Brighton and Downtown Campuses and assignment of class locations during the development of the course schedule and preparation and oversight of the final exam schedule.

  • Oversee and provide assistance and supervision for all graduation certification processes.

  • Develop, manage, and oversee the department budget.

  • Work closely with the Student Services Vice President's office to coordinate technology and software systems that support the effective/efficient management of registration and records processes, as well as department and College initiatives.

  • Lead the development, implementation, and assessment of the department's goals based on division-wide priorities and the CAS standards, and provide regular data-driven updates and progress reports on student enrollment functions, in partnership with the Student Services Vice President's office.

Secondary Functions:

  • Participate in college-wide committees and meetings as appropriate or requested.

  • Perform other duties and responsibilities assigned by the Associate Vice President of Enrollment Management or Vice President of Student Services.

    Job Requirements:

Required Qualifications:

  • Earned Master's degree in an area such as Higher Education Administration, Management Information Systems, Public Administration, or a closely related field from a regionally accredited higher education institution.

  • Previous administrative experience, demonstrated professional growth and should include: successful management of people and systems; budget development and administration; staff evaluation; and supervision of professional and/or support staff.

  • Strong technical/computer skills and working knowledge of computer systems, preferably student registration systems; BANNER desired.

  • Evidence of effective communication, interpersonal skills, public speaking, and strong writing skills as required to serve students, faculty, staff, and administration.
