Risk Management Services CoordinatorFacility:St Charles HospitalLocation:Port Jefferson, NYDepartment:Risk Management/Legal CounselCategory:Administrative / Business SupportSchedule:Full TimeShift:Day shiftHours:8-4ReqNum:6031138POSITION SUMMARY:Risk Management Services Coordinator provides confidential secretarial and administrative support for the Risk Management/ Legal Services department. Managing the schedule/calendar, telephone communications, and screen and evaluate incoming and outgoing correspondence and prepares responses as appropriate. Acts as a liaison to insurance companies and law firms. Handles administrative problems and inquires as appropriate.DUTIES/RESPONSIBILITIES:LegalOrganizes and facilitates meetings, conferences, and other special events, as required.Assist in discovery issues with insurer and law firms.Report identified occurrences that have potential for litigation to insurer.Maintain legal bills and files.Assist with legal inquiries from attorneys.Seeks appropriate approvals and processes legal invoices and bills for payment.Risk ManagementComposes and prepares written documentation and correspondence for the department.Compiles and analyzes basic information and prepares statistical data for reporting purposes. Designs, maintains and updates various departmental spreadsheets and databases.Maintains department files and records in accordance with established procedures and develops new procedures, as necessary.Transcribes tape and documents meeting minutes, as required.Prepares presentation materials.Performs research for special projects, as assigned.QMMaintains an effective reporting system (i.e. MIDAS and NYPORTS database) to communicate and document findings, action and follow-up resulting from systematic monitoring and evaluation criteria.Prepare presentation materials for the Patient Safety Committee, Environment of Care, Workforce Safety and Falls meetings.Evaluate all occurrences, coordinate and enter all data related to occurrences into the MIDAS System.Assists with coordinating Root Cause Analysis reports for regulatory agencies.Assists in the preparation process for accreditation and regulatory surveys.Coordinate the Patient Safety Hero Award Program.Knowledge of Medical Terminology.Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the department, as appropriate.Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.Performs related duties as required.POSITION REQUIREMENTS AND QUALIFICATIONS:Education:High School Diploma or equivalent, required. Bachelor's Degree, preferred.Experience:5 years of executive secretarial experience in a hospital or health-related institution.Legal experience preferred.Knowledge of Quality Management/ Performance Improvement principles and NYPORTS preferred.Skills:Attention to detail and ability to multitaskCommitted to excellence in service and performanceProficient in the use of Microsoft Office suite of applicationsMust be a team playerStrong communication skillsAbility to maintain a strict level of confidentiality
