Office Manager (Interpretation)

Hours: Full time, year-round (2080 hours, 40 hours a week with some evenings and weekends)

Primary Function:
The primary function of this person is to provide administrative support to the Interpretation
Department working closely with the Senior Director of Interpretation as well as maintaining the
work schedules of the seasonal interpreters as established by the managers and supervisors,
coordinating and scheduling of the village volunteers, maintaining time records in Paylocity (the time
& attendance system), and providing necessary financial support for the various department cost
centers. Coordinate daily tasks within the department and in the Historic Village in cooperation with
the department managers and leads.

Job Duties:

Address daily needs of interpreters, volunteers, guests and other staff (50%)
Maintain schedule of interpreters for village buildings and craft demonstrations for the regular
season as well as special programming events involving interpretive staff.
Assist in the planning and implementation of interpreter orientation and training including
compilation and assignment of interpreter handbooks
Create, maintain, and distribute interpretation department employee roster.
Supply village buildings and interpreters with necessary housekeeping and relief schedules and emergency procedures information
Provide administrative support to the Senior Director of Interpretation and other supervisory
staff in the department
Serve on a variety of internal Museum committees as needed and represent the department at
Museum meetings as necessary
Other duties as required by the Senior Director

Communicate with department managers and other departments to coordinate programs(20%)
Answer phone calls and emails from the public, interpreters and other staff to maintain accurate
and helpful lines of communication
Communicate with and assist other departments as requested in the implementation of museum

Maintain timecard records and forms tracking(15%)
Responsible for working with Finance & Human Resources Departments in preparing and
maintaining interpretive staff records including time cards, applications, work papers, work
schedules, emergency notifications and acknowledgement forms.
Reconciling irregularities with staff time records such as missed punches, employee notes, etc.

Assisting Senior Director with finance tracking tasks and transfers(15%)
Assist the Senior Director of Interpretation with finance tasks, including budgeting, completing
select departmental transfers, and maintaining cash bags for the village confectionery and special
programs (Try Your Hand, Base Ball, etc.)

A college degree or two to four years of work experience in a related field
An out-going, friendly demeanor, good telephone skills and an attention to detail
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks Demonstrated proactive approaches to problem-solving with strong decision-making ability
Must have at least two years of successful experience working directly with people and addressing their daily concerns
Ability to work as part of a diverse team but also independently when required
Comfort in working with numbers and have experence reconciling cash
Proficiency in Microsoft Office (Word, Excel,Power Point,Publisher and Outlook),social media platforms and iPads
Proven ability to handle confidential information with discretion
Sensitivity to the cultural differences as represented by the Museum's c llections, educational
mission, staff, and audience

Willingness to be certified in first aid
Ability to work evenings and weekends as needed
