Job Brief

Looking for a highly organized individual with experience working in an administrative support role with a high level of attention to detail.

H.O. Penn, the CATERPILLAR Dealer for lower New York is looking for an Administrative Assistant to join our Power Systems team in Holtsville, New York.

As the Administrative Assistant, you would be responsible for the following:

Provide administrative support to Power Systems Vice President and Sales Manager

  • Answer and direct all telephone calls

  • Schedule appointments and coordinate meetings

  • Provide reporting and analysis on department operational results as needed

  • Make all departmental travel arrangements

  • Provides Notary Services

  • Gather information for quarterly company newsletter

Assist Power Systems with coordination of daily operations

  • Code, approve and process check requests, invoices and customer credit card transactions

  • Manage Answering Service messaging and on call lists, EZ Pass account, DOT parking cards, Department AMEX statement, Petty Cash Box and office supplies

  • Sort and Deliver incoming mail and packages

  • Tracks vacation schedules

Provide professional sales support and administrative assistance to assigned sales engineers

  • Maintain quote and project development information in CRM program

  • Assemble technical bid review binders

  • Process all customer tax certificates and credit applications

  • Efficiently access, maintain and distribute technical information to all stakeholders, as required

Qualifications:

  • At least 2 – 3 years of experience working in an administrative support role with a high level of attention to detail and responsibility for multiple tasks

  • Strong administrative skills (including but not limited to: phone skills, email, research, data entry, verifying information)

  • Proficiency in MS Word, Excel, and PowerPoint with the capability of utilizing multiple computer systems

  • Excellent verbal and written communication skills are essential

  • Excellent organizational skills and ability to multitask effectively
